Enhanced Productivity.

Calendar events and tasks should be mobile and one genuinely productive but sometimes overlooked feature of Ntuity is it’s integration with any iCal calendar, Microsoft Outlook for example.

Having visited Cambodia several times over the last 20 years or so, both as a tourist with family and recently on business with colleagues, I have very fond memories, hundreds of photos and many treasured souvenirs.

When there I try as much as possible, to enjoy the incredible array of historical sites both ancient and those more recently steeped in infamy.

My first visit included my family and I had a short bucket list.

The Foreign Correspondent’s Club in Phnom Penh where I sat for hours overlooking the river which I thought was the Mekong but was actually the Tonle Sap. Here over my G&T I could imagine, even feel the presence of Sydney Schanberg as he wrote about the Vietnam War and later the Killing Fields.

And yes of course we were emotionally shaken at the Tuol Sleng Genocide Museum, a former high school where thousands of innocents were tortured and murdered. The next stop was the land mine museum where we were guided by a young man who had lost the lower part of one leg to one of those horrendous devices. The Choeung Ek Killing Fields were next where my good wife and daughter were reduced to uncontrollable tears and my youngest son moved to deep and thoughtful silence.

I exposed my family to these experiences in order that my children would better appreciate their very comfortable western lives and to engender in them a greater empathy for other peoples and their plights. I believe it worked. My son Mitchell, so moved on his first visit,  has been back on his own and is now an adventurer, photographer and travel writer which I believe was influenced by his time in Cambodia.

Next stop was Siem Reap and of course Angkor Wat about which has been written so much I can add little except to say if you do one thing in your life do Angkor Wat and do it soon. So much mystery, beauty and monument to mankind’s humanity, skill and artistry in stark contrast to what Pol Pot inflicted. We remember fondly some quiet time in welcome shade outside the Temple, chatting and laughing with the locals then feeding the elephants assembled nearby to provide tourists with rides.

One lasting memory is of an unexpected delight. We were staying at the FCC Hotel (highly recommended) and lazing around the pool one typical steamy Siem Reap afternoon when suddenly a gust of breeze sprung up and filled the air with thousands of flying seeds, so many the sun was almost obscured. They all spiralled down in slow motion like so many tiny single bladed helicopters to settle gently on us, on the ground and to smother the pool surface. We were left squealing with so much delight not one of us thought to take a photo. Very quickly the hotel staff, totally unfazed by this event, scurried around to clean them up and to fetch us fresh drinks.

There have been so many more wonderful life enriching experiences from our times in Cambodia but the everlasting impression has been left by the people. So scarred and yet so positive, so gentle, so kind, and so welcoming.

What Has The Map of Tasmania Got To Do With Agency Profitability?

Every time I see it I giggle because it takes me back to those long ago days of my early career in advertising pre FBT in Australia which virtually killed the long lunch in advertising by effectively introducing a tax on staff & client entertainment but that is a story for another time.

Lunch could start as early as 12:00 noon on Thursday and it was not uncommon for us to arrive back at the agency around 5:00pm Friday for the Friday night free bar.

Friday night was not the only night for free bar, every night was free bar. That included beer, wine and spirits and sometimes even mixers.

Most of the staff attended and often so did clients.  Mostly the week nights were well behaved, there was the odd national TV identity thrown through the glass doors and keeping the pot plants in good health was a challenge given the copious amounts of acidic liquid squirted over them on regular occasions. The pot plant rental firm was kept very busy rotating palms with ferns and ferns with palms in an attempt to keep them from dying.

It was the Thursday to Friday events that lead to the most entertainment.  Now out of respect for my colleagues I won’t name any names but the agency was a multinational headquartered in Melbourne and large by Australian standards with a prestigious client list.

I never knew his official title but our number included an absolutely outrageous gentleman who’s unofficial title was “Director of Entertainment”. One of his favourite routines late on a Friday night was to stand on the big round table in the centre of the bar and tell very risqué stories. I cannot remember any of the stories but I will never forget the fascination the overhead fan held for me as it cut through the air just centimetres from his large and deliciously bald head.

Some of what follows is not politically correct for which I apologise in advance, however those times were far from politically correct and the stories are true.

The good times were fueled by the free bar with booze flowing in copious quantities.

A colleague of mine  awoke at home late one Christmas morning after a long and boozy day at the agency to find his company car was not in it’s usual place in the drive way. He had to report to the police it was stolen, he had to inform the agency it was stolen, they informed the insurance company and sourced him a loan car till the matter was resolved.  About the third week in January a young lady from the studio who was just back from Christmas holidays fronted him in the bar and asked if he could remove his car from her driveway. Apparently he had no idea how it got there or how he got home after. No-one at the bar saw anything out of the ordinary in this little event.

The free booze was paid for by the agency. It was supplied apparently at retail prices by one of our clients, a local chain of liquor stores for whom we did all the advertising.

The rub is that we spent more with them on our grog bill than they did with us on their advertising.

There was, to me, a very memorable occurrence in the bar early in my career. We had the good fortune to handle a tourism account which included several islands off the north east coast of Australia, beautiful tropical and sub-tropical destinations around the Great Barrier Reef.  Among them from memory, were Day Dream, Hamilton & Lizard islands.  The AD on the account was an attractive and energetic young women who, in keeping with the tone will remain nameless.  Tasmania on the other hand is a large island on the very southern tip of Australia, a long way from the Great Barrier Reef and definitely not part of our brief.

At a long Friday lunch session wagers were being made about what time the map of Tasmania would be revealed, as the new boy I didn’t understand the context but went along with the conversation although I was specifically precluded from any explanation. That night we dived deep into Friday night’s bar and at a point when the usual raucous din abated a little my attention was drawn to the big round table usually occupied by the Director of Entertainment to find it was in fact occupied by the AD on the tourism account.  She was dancing a great little boogie to a Texas shuffle by ZZ Top blaring from the sound system, swishing her skirt deftly but modestly from side to side. When the song ended, to her audience’s greatly anticipated delight, the map of Tasmania was revealed Can Can fashion to a resounding round of applause. I laughed myself silly at my naivety, and now every time I see a map of Tasmania I have to suppress a little giggle as that memory comes flooding back.

Yes we played hard but we also worked hard and we did both with our clients who almost without exception appreciated what we did for them. There was a strong sense of partnership like “we are both in this together”.

Those days are well and truly over both in terms of the excesses and unfortunately the pervading sense of partnership. Agency budgets are now so restricted they severely limit profitability. I recently heard through a colleague working at one of the larger WPP UK agencies, that all entertainment and travel has been banned.

I doubt there are many free bars any more as times are more politically correct, as they should be, and also agencies simply cannot afford them due to the constant pressure on remuneration rates and structures.

I cannot do much to help in regards the remuneration rates and structures that is not my domain, but I can contribute greatly to improving the bottom line of agencies within any remuneration structure.

Document Version Control can save you time, money and grief.

The easiest sale we ever made of Ntuity was in London. I was presenting to the CEO and the MD of a full service agency. I was only 10 minutes or so into the presentation when I demonstrated Ntuity’s automatic document version control when editing a document. The MD stopped me mid sentence and literally said “We will take it”.

He went on to explain that their colleagues had just returned from a trip to Paris where they had presented several TVCs, two of which were presented, according to the client, with the wrong script for the voice over.

The agency was pretty sure they had used the script as approved by the client but could not categorically prove it because of the weakness of the technology they employed for managing such important communications. As is often the case “the client is always right” so the agency had to wear the cost of the new voice overs. The MD went on to explain, “if we never have to do that again the system pays for itself”.

I continued with the presentation showing off the many other functions related to the management of communications: comment trains, use of templates, auto population of tagged fields, emailing links to large files,  the ability to check communications out and check them back in, the Sarbanes Oxley compliant security etc.

Time Sheet Reminders are a Pain.

Time sheet reminders are a pain everyone says so. Ntuity can eliminate the pain by keeping tabs on what you have worked on in the last hour or so and then popping up to show you the list of what jobs/projects and communications you have “touched” recently so you can quickly allocate time against them. Sure, initially the popup may be viewed by some people as annoying but it is far less annoying than those email reminders and badgering phone calls and it quickly becomes a greatly appreciated tool because of the convenience it provides.

This feature is called “My Recent Jobs” and it can optionally be installed on your Mac or PC.

Remember, it is optional and you even get to nominate how often the popup occurs. And don’t worry it does not popup unless you are connected to your work network so you will not get interrupted at home.

There are other advantages as well, for example when you first install the app you login to Ntuity, set the popup interval and that’s it. You do not need to login to the full Ntuity application again if all you have to do is enter time, access your jobs/projects and related communications. That’s right, “My Recent Jobs” gives you full access to your jobs/projects and all related communications. You can launch communications such as briefs, proposals, contact reports etc.

You can upload and download documents, presentations, spreadsheets, graphics files, audio and video files. You can email them as attachments or as links, annotate graphics files and even participate in a comment train.
